Guidelines for Claiming Mileage Reimbursement
IRS Regulations provide guidance relative to the claiming of business mileage for reimbursement from an employer (Reference: Employer’s Tax Guide to Fringe Benefits). District 59 uses this IRS document to establish its guidelines for claiming mileage reimbursement for employees who use their personal vehicle in the performance of their job responsibilities.
Mileage Rate: District 59 uses the Standard Federal Mileage Rate as set by the IRS. This rate typically changes annually, however periodically the IRS may revise the rate more than once a year based on their criteria.
Business Travel Definition: You may claim reimbursement for mileage if and when you use your personal vehicle for business use.
Examples of business use:
- Traveling between district sites
- Traveling to a business meeting or seminar (less your typical commute mileage)
Personal Use Definition: Commuting to and from your principal place of business is considered personal use. This definition applies to all travel to your work site regardless if the travel falls outside regular business hours.
Examples of personal use and non-reimbursable mileage expenses:
- Coming in to work on a weekend
- Returning to work in the evening
- Your typical commute to and from work
Mileage Substantiation and Request for Reimbursement:
Please go to the Staff Portal and select “Accounting” to submit mileage reimbursement. Please be sure to select the correct year form for your submission.
Employees are required to provide itemized substantiation by maintaining a mileage reimbursement log. The log must include the date, business purpose, location and mileage for each reimbursement.
Mileage should be recorded “at or near the time incurred”. Monthly expense reports are considered “at or near the time incurred” and should be submitted in accordance with the Accounts Payable Payment Schedule.
If employees choose not to be reimbursed for business mileage, they cannot claim the expenses on their personal tax return.

Ejemplos de uso personal y gastos de millaje no reembolsables:
- Entrando a trabajar en un fin de semana
- Regreso al trabajo por la noche
- Su típico viaje de ida y vuelta al trabajo
Justificación de millaje y solicitud de reembolso:
Por favor, vaya a esta Staff Portal para enviar el reembolso de millas. Asegúrese de seleccionar el formulario de año correcto para su envío.
Los empleados están obligados a proporcionar justificación detallada manteniendo un registro de reembolso de millas. El registro debe incluir la fecha, el propósito comercial, la ubicación y el kilometraje para cada reembolso.
El kilometraje debe registrarse “en o cerca del tiempo incurrido”. Los reportes de gastos mensuales se consideran “en o cerca del tiempo incurrido” y deben ser presentados de acuerdo con el Plan de Pago de Cuentas por Pagar.
Si los empleados eligen no ser reembolsados por el millaje comercial, no pueden reclamar los gastos en su declaración de impuestos personal.
